How to use this app
A quick reference for West Tawakoni PD officers and administrators.
The dashboard
After signing in you land on the dashboard. The panel at the top shows live case totals by status, and (for administrators) a breakdown of each officer's caseload. Below that is the case list, split into three groups:
Click any of the case-totals cards (Total cases, Open, Pending, Ready, Filed, Rejected) to filter the list down to just that status — click it again to go back to showing everything. Use the search box to find a case by number or suspect name. The Needs Attention button (see below) filters the list down to cases that are falling behind. The Intake Forms button opens blank District Attorney and County Attorney intake form templates you can preview or download and print at any time — these aren't tied to any case.
Starting a case
+ New Case (manual) lets you type in a case number, suspect name, and optional charges yourself.
+ New Case from Scan is the fastest way to file a full packet: drop in the scanned PDF(s) and the app reads every page, automatically splits them into the right categories, and finds the case number and suspect name off the Intake Form — no confirmation needed. If it can't find a case number or suspect name, it will ask you to enter them once.
Categories and files
Inside a case, files are organized into fixed categories: Intake Form, Offense Report, Booking Sheet, Warrants, Evidence, Affidavits, Supplements, NDLS, CCHW, MVDWS, and NCIC.
Dropping a PDF into a case's upload area scans it and suggests a category — confirm or change it before it saves. Photos and videos (JPG, PNG, HEIC, MP4) skip that step and are filed straight into Evidence; HEIC photos are automatically converted to JPG so they preview and print normally.
Each file has a row of actions:
The Update file names button re-applies the standard "Category.pdf" naming to every file in the case in one click — handy after moving several files around.
Case status
Change a case's status from the dropdown on the case page:
Marking a case Ready
Choosing Ready from the status dropdown starts a completeness check. If every category already has files, you'll go straight to a final confirmation. If any category is empty, a window opens asking you to explain why, with a note field for each missing category — add a note and it's marked "Explained." Once every missing category has a note, click Continue.
Last, a pop-up asks "Everything is signed? Videos marked with case number?" Choose Yes to mark the case Ready, or No to go back to the case without changing anything. Marking a case Ready also emails a notification automatically — nothing further to do.
Category notes are for internal use only — they show up inside the case page but are never included in Print all, Download all, or any file a suspect's attorney might see.
Needs Attention & missing files
Every category section on a case page is color-coded:
The dashboard's Needs Attention button shows a count and filters to: any case still Open and more than 10 days old, plus any Rejected case (Rejected always needs attention, no matter its age).
Status history
Every case page has a Status history section near the bottom of the status area — click it to expand. It's a permanent log of every status change on the case: when it was filed, every time it was set to Pending and why, every lab-sent or upload-link-requested date, every rejection note, and who made each change. Unlike the current Pending/Rejected details shown above the status dropdown (which only reflect the case's current state), this log keeps the full history even after the case moves on to a new status.
Charges & assignment
Charges are pulled automatically from an uploaded Intake Form, and can be added or removed by hand using the Edit button next to the Charge(s) field. Administrators can reassign a case to a different officer from the case page.
Administrator-only tools
Administrators (Chief Alderson, Sgt Thompson) can see and edit every case, not just their own, and have access to a few extra tools:
